How to Write a Research Proposal for an MS or PhD

Are you planning to apply for an MS or PhD? If your program requires a research proposal, do not start by writing pages of text. Start with one question: What research problem do I want to solve?

A proposal is not a formality because reviewers use it to judge the following;

1.  Whether your question matters.

2.  Whether your method can actually answer it.

3.  Whether you are the person who can carry it out.

 Every section you write should serve one of those three goals. If a paragraph does not serve one of them, cut it. We have created a hack to help you write a good research proposal.

1. Start with the research problem

Do not begin with a broad topic. For instance, Artificial intelligence in education is a topic, while limited access to AI-supported teaching tools among rural secondary school teachers is a research problem.

A topic tells the reader what field you are in. A problem tells them what is broken, for whom, and why it matters right now. Reviewers who read proposals for a living say the single most common failure is a topic dressed up as a problem. If your opening paragraph could describe fifty different studies, it is still a topic.

Two tests help here. First, can you state the problem in one sentence without using the word and more than once? If not, you are trying to solve two problems at once. Second, does the sentence name who is affected and what the consequence is?

Teachers lack AI tools is weak. Rural secondary school teachers cannot access AI-supported lesson planning tools, which widens the gap between rural and urban student outcomes, is a problem with stakes attached.

2. Read the existing research before you propose anything

Before proposing your own study, find out what other researchers already know. Read recent, credible sources. Skip personal blogs and opinion pieces where you can, and lean on peer-reviewed work, institutional reports, and landmark studies in the area. Look for:

  • What has already been studied, and by whom

  • What the main findings were

  • What limitations the earlier studies admit to

  • What questions remain unanswered

  • Where the gap actually sits

A weak literature review usually shows up in a specific way, like,

1.  Heavy reliance on older sources with nothing from the last two or three years, no mention of the field's landmark studies.

2.  A review that reads as a list of summaries with no argument connecting them.

Your review should not just describe what exists. It should build a case for why your study needs to exist. You are not starting from zero. If you are building on, correcting, or extending someone else's work, say so explicitly.

3. Build your research argument as a single line

Your proposal should have a clear line running through it:

Motivation → Previous Research → Research Gap → Your Approach → Expected Contribution

Each part should hand off cleanly to the next. If your literature review ends and the reader cannot tell what gap you found, the section has failed regardless of how many papers you cited. If your methodology does not obviously follow from your research questions, the reviewer will assume you picked a method you already knew rather than one the question demanded.

One useful way to check the line: read only your section headings and topic sentences, in order, with everything else removed. If that skeleton tells a coherent story on its own, the full proposal will read well too.

Support major claims with credible academic sources. Avoid claims your evidence cannot support, and avoid opening with your personal history or motivation for the topic. Reviewers do not need your origin story. They need the gap in the field, stated plainly, in the first few lines.

4. Define research questions that come from the gap

Your research questions should come directly from the gap you identified in step 2, not from what sounds interesting.

Keep them focused. Do not try to answer every open question in your field in one study. A useful discipline here is the SMART filter, borrowed from project design: is each question Specific, Measurable, Achievable within your program's timeframe, Relevant to the gap you named, and Time-bound?

Then develop a small number of research objectives that map directly onto those questions. Three objectives for three questions is cleaner than five objectives that only loosely connect to two questions. Your questions, objectives, and methods should align enough that a reader could redraw the connections between them without your help.

5. Develop a hypothesis

Not every study needs a hypothesis. Exploratory and qualitative work often does not. Where a hypothesis is expected, state it in plain language and make it testable. A vague hypothesis leaves reviewers unsure what your study will actually determine, which is one of the most common reasons proposals lose confidence on first read. Your literature review should clearly support the expectation you state. If your hypothesis cannot be traced back to something in your review, the hypothesis will look invented rather than reasoned.

6. Design a methodology 

Reviewers scrutinise this most, because it is where a good idea either becomes doable or falls apart.

Depending on your field, this may include:

  • Research design (qualitative, quantitative, mixed methods, experimental)

  • Participants or sample, and how you will reach them

  • Data collection instruments: surveys, interviews, experiments, simulations

  • Data analysis approach and the tools or software involved

  • Sampling size and rationale

Do not stop at describing what you will do. Explain why that method, and not another, fits your question. If you chose a survey over interviews, say what you gained and what you gave up. Reviewers read methodology sections looking for a justified choice, not a list of steps.

7. Think through feasibility

A strong idea that cannot be completed inside the study period is not a strong proposal. Ask yourself directly: what could go wrong? What if you cannot reach your intended participants? What if your dataset turns out smaller than planned? What if a planned experiment or a partner institution falls through?

Name at least one realistic backup plan for your biggest risk. A funder or supervisor reading a proposal with no acknowledgement of risk tends to read that as naivety, not confidence. Acknowledging a risk and showing a fallback does the opposite: it signals that you've thought about running the study, not just designing it on paper.

8. Address research ethics from the start

If your study involves people, animals, medical data, or other sensitive material, explain concretely how you will protect participants and handle the data. This typically covers:

  • Informed consent procedures

  • Privacy and confidentiality safeguards

  • Data protection and storage

  • The ethical approval process you will go through, and when

  • Participant safety, including any special protections for vulnerable groups

Ethics should shape your research design from the first draft, not get bolted on at the end. A methodology that works only if ethical approval is assumed, rather than actively planned for, is likely to stall.

9. State your expected contribution

Ask directly: what will my research add that does not already exist?

Your study could contribute to:

  • Academic knowledge in your field

  • Research methods or instruments others can reuse

  • Industry practice

  • Public policy

  • Professional practice

  • A specific community or population

  • Society more broadly

Do not stop at this study will examine… That is a description of activity, not a contribution. Push one step further: what will be different, known, or possible because this research was conducted that was not known or possible before? That sentence is your contribution, and it is often the sentence a reviewer remembers.

10. Build a timeline 

Show, concretely, how you plan to complete the work inside your program's timeframe.

A simple timeline or Gantt chart typically covers:

  • Literature review

  • Research or methods training

  • Ethics approval

  • Pilot study

  • Data collection

  • Data analysis

  • Writing

  • Final revision

Match the timeline to the real length of your program, not to an idealised version of it. Build in slack for ethics approval delays and for data collection taking longer than planned, since both routinely do. A timeline that has no room for anything going wrong reads as unrealistic even before anything has gone wrong.

11. Prepare a budget

Some programs, scholarships, and grants require a research budget. Where one is required, include realistic costs such as:

  • Research materials and equipment

  • Software or tools

  • Participant incentives or costs

  • Data collection expenses

  • Travel

Justify major costs rather than deflating the budget to look modest. A funder reading an unrealistically low budget tends to read it as underplanning, not thrift.

12. Write, review, and rewrite before anyone else sees it

Your first draft is not your final proposal. Review it in passes rather than all at once. On separate passes, check:

  • Whether the research problem is stated in one clear sentence

  • Whether the literature review builds an argument rather than a list

  • Whether the gap is explicit

  • Whether your questions and objectives align with each other

  • Whether the methodology is justified, not just described

  • Whether the timeline is realistic for your program

  • Whether the writing itself is clean, direct, and free of unnecessary jargon

If possible, have a professor, researcher, or experienced peer read it before you submit. A second reader consistently catches gaps a writer cannot see in their own work, simply because they were not inside the thinking that produced it. Then revise again.

The formula to remember

Problem → Literature → Gap → Questions → Objectives → Method → Ethics → Contribution → Timeline → References

One more thing

Your proposal should sound like you. Don't fill it with complicated words just to sound academic. Reviewers read a lot of these documents, and jargon for its own sake reads as compensation, not expertise.

Don't copy another applicant's research idea, and don't open with your personal journey toward the topic. Reviewers are not evaluating your story. They are evaluating whether the problem is real, whether you understand it, and whether your plan to investigate it is sound.

Whether you are applying to a university in the U.S., UK, Canada, Australia, Europe, Asia, or elsewhere, the same principle holds:

Start with a clear research problem, and build the proposal around it. If you are targeting an MS or PhD intake, start developing your research idea now. A strong proposal is rewritten more times than most applicants expect, and the rewriting is where it actually gets sharp.
